Online Submission Procedure of Trust’s Account

Trusts are divided into two categories: Those whose yearly income exceeds Rs.5,000, and those whose yearly income is under Rs.5,000. Here, we will take a look at how to go about submitting your trust's account online.

Trust Accounts With Yearly Income In Excess of Rs.5,000 - Online Submission Procedure

Here is the procedure to submit the accounts of your trust online:

• The requisite documents must be kept ready and will have to be scanned before saving them on your desktop. The size of the documents will have to be 150 DPI, and it must be in black and white. The scanned documents cannot be over 1 MB in size.
• Go to www.charity.maharashtra.gov.in.
• At the top of the page, click on the "Submit Your Trust Accounts" tab.
• You will be redirected to a new window where you will see empty fields for "PTR Office", "Trust Number", "Trust Name", "Trustee Name", "Trust Address", "Society Number" and "Society Name". From the drop down menu for the first field, choose the district of the PTR Office (Public Trust Registration Office where the trust is registered).
• Then, key in the name or registration number of your trust and hit "Search". In case the details related to your trust have already been updated on the site, the name of the trust shall appear in the list that follows. If not, click on "Add Trust".
• A new section called "Trust Details" will open up and you will have to fill in fields such as "Trust Name", "Local Trust Name", "Trust PAN Number", "NITI Aayog ID", "FCRA Registration Number", "Office Name or Building Name", "Street Name", "Landmark", "PIN Code", "State", "District", "Taluka", "Village", "Mobile no.", and "Email ID". Then, enter the Captcha code and hit "Submit".
• You will then have to fill up certain communication details in the "Communication Details" section below the "Trust Details". These details include "Contact Name / Nodal Officer / Rugnamitra", "Contact Name / Nodal Officer / Rugnamitra", Office Name or Building Name", "Street Name", "Landmark", "PIN Code", "State", "District", "Taluka", "Village", "Mobile No.", and "Email ID". Then, enter the Captcha code and hit "Submit".
• Go back to www.charity.maharashtra.gov.in and click on "Submit Your Trust Accounts".
• You will be redirected to a new window where you will see empty fields for "PTR Office", "Trust Number", "Trust Name", "Trustee Name", "Trust Address", "Society Number" and "Society Name". From the drop down menu for the first field, choose the district of the PTR Office (Public Trust Registration Office where the trust is registered) and enter the name or registration number of your trust before hitting "Search".
• A list of results will pop up below the "Search" and "Add Trust" tabs. Click on "Trust Account" - a link located beside your trust.
• Next, select the "Accounting Year" from the drop down menu that follows the previous section.
• Then, select the "Total Income" in the "Other Details" section. You will have two options - "Below 5,000" or "Above 5,000". Select "Above 5,000" and click on "Audit Report".
• You will then have to enter the "Auditor / CA Master Details", which include "Auditor / CA Name", "Name of the Firm", "District", "Mobile Number", and "Status", and click on "Search". In case the details show up, you can simply select them and proceed to the next step. If they don't, you will have to manually add the CA details by clicking on the "Add CA Details" box.
• To add a new CA, you will have to fill up the following details in the form: "Name", "Name in Local", "Membership Number", "Qualification", "Name of the Firm", "Registration Number", "Mobile Number", "Email ID", "Office Name or Building Name", "Street Name", "Landmark", "PIN Code", "District", "Taluka", and "Village". Then click on "Save" and you will be redirected to the previous page where you will have to click on "Search" to find the CA details and select the result that pops up.
• Next, you will have to select the answers to certain questions by using the dropdown menu and choose yes, no, or N/A. Submit your responses to all the questions after which you can leave your remarks, if any, to bring to the notice of the Deputy or Assistant Charity Commissioner any special matter that the auditor deems fit or unnecessary. Enter "no remarks" if you have none.
• Next, upload the necessary supporting documents, such as CA Audit Report, Affidavit (in case submission of accounts happens after September 30), CA Membership Certificate issued by ICAI, and other documents. Then, enter the Captcha code and check the box which says "I hereby declare that all information and evidences in this application are true, complete and correct to the best of my knowledge", and click on "Submit".
• Your Audit Report will then be submitted and you will have to proceed to Schedule IX.
• In the tab titled "Schedule IX", you will have to enter the details related to your expenditure and income before entering the Captcha code and checking the box which says "I hereby declare that all information and evidences provided in this application are true, complete and correct to the best of my knowledge". Then, click on "Submit".
• Once you have submitted Schedule IX, you will have to fill up Schedule VIII by entering details regarding your funds and liabilities, and property and assets. Then, upload the Corpus Fund Certificate and enter the Captcha code before checking self-declaration the box and clicking on "Submit".
• After the submission of Schedule VIII, you will have to fill up Schedule IX-C by entering details related to your "Statement Of Income With Contribution" and "Communications With Trust/Society". Then, enter the Captcha code, check the self-declaration box, and click on "Submit".
• The last step is to "Generate Summary and Verification" after which you will receive a Trust Account Acknowledgment which can be saved on your desktop. You will receive an email with your user ID where you can access your trust-related activities.
